Merch Fulfillment for Bands, Labels and Sports Clubs
Bands, labels and clubs need merch fulfillment as soon as their own store brings in more orders than the office has room for boxes. Lufapak has organised storage, picking and shipping since 1998. Your goods sit in a warehouse certified to ISO 9001 and ISO 14001, not in a rehearsal room and not in a member’s garage.A fan store sells differently from conventional online retail, so standard processes only get you so far. Orders arrive in waves, ranges change with every campaign and many items exist for a few weeks only. Merchandise fulfillment therefore gets set up per client here rather than by template. You can start with a single item, because we ask for no minimum quantity at all, whether that is 40 shirts for a support slot or a full tour range.
Band merch fulfillment covers the whole route from goods receipt through stock control to tracking. If you produce for a creator community, separate processes apply, which we describe under influencer merchandise. Music, sport and club brands share that infrastructure. Only the items differ.
Shirts, Vinyl and Mugs Stored by Variant, Not by Guess
How many SKUs come out of 15 designs? Easily 120. A tour shirt in six sizes, hoodies in four colours, plus caps, stickers and a limited vinyl edition.
Storing merchandise rarely fails on volume, it fails on that variety. Every variant gets a fixed location here and is tracked individually. When one size runs dry, you see it in the stock list before your store keeps selling it.
Small items run through our small parts warehouse, while bulky goods such as flags or club jackets go onto pallet spaces. More than 30,000 pallet spaces and 100,000 small load carriers stand ready across over 20,000 sqm. Merch fulfilment means the occupied space grows with your range, not your fixed costs. Discontinued designs get consolidated on your instruction. Dead stock stops blocking prime locations that way.
Handling printed goods properly is what separates merchandise fulfillment companies from general warehouses. Printed textiles must not crease, vinyl does not tolerate heat, enamel pins break when stored loose. Our staff have been with us for 12 years on average and know the difference between a standard carton and a collector’s edition.

Bundles of Album, Shirt and Poster Are Built in Kitting
The actual product often comes together in the warehouse. Album, shirt and signed poster become a tour bundle, club items become a fan package, single parts become an advent calendar. Our kitting services handle that set building including assembly and repackaging.
Send us the parts list. We assemble, pack and create the bundle as its own SKU, which your store then sells as a single article. Special editions can be set up at short notice without your printer having to produce again. Unsold sets are broken down after the campaign and the individual parts return to stock.
Artist merch fulfillment works the same way for agencies that look after several acts or clubs. One contract, one warehouse, separate stock per client. Each client sees only their own items and figures, because the multi-client principle keeps the accounts cleanly apart.
Inserts such as stickers, setlists or hand-signed cards are added to your specification. That is what turns a parcel into part of the release for your fans.
Campaigns and Releases Create Peaks Worth Planning For
An album release, a tour announcement or a cup win brings more orders in a few hours than a whole quarter otherwise does. That is exactly where an office storeroom fails. We absorb these peaks in merch fulfillment with staff from ongoing operations, because the same hall handles orders from e-commerce fulfillment, automotive and cosmetics every day.
Pre-orders and limited editions are held back until the agreed date and go out on the day itself. Shipping to Prime standards is possible, as are express orders through our rush order handling. Because fans sit everywhere, shipments go out nationally and internationally, reaching recipients in Europe, Great Britain and worldwide through our parent company DK Group in England.
Our merch fulfillment services also connect your store technically. Our in-house IT links Shopify, WooCommerce, JTL and other systems to the stock via API, EDI or CSV. You see stock, shipments and returns in the dashboard, without asking by email.
What Does Merch Fulfillment Cost Compared to Your Own Warehouse
Merch fulfillment pays off as soon as rent, racking and temporary staff cost more than the per-order rate. Instead of fixed costs you pay by activity, so by pallets stored, lines picked and parcels shipped, which keeps a quiet January cheap. The comparison is starkest in weak months:
| Cost block | Own warehouse | Lufapak |
|---|---|---|
| Space | Fixed rent all year | By occupied space |
| Staff | Permanent plus temporary | Included in the order price |
| Peak after release | Overtime, waiting time | Capacity from the network |
| Shipping rates | Small volume tariff | Rates from total volume |
We calculate the exact rates individually from your quantities, so there are no fixed price lists. Where shipping itself can be made cheaper is shown by our transport cost optimization. Comparable merchandise fulfillment services differ mainly in what they charge for peaks, so it is worth asking that question early.
As your merch fulfillment company between Cologne and Frankfurt, we put a quote together based on those quantities. Plan the switch before your next release, then the intake runs without time pressure. Send us your range and order volume to sales@lufapak.de or call +49 (0) 2631 384-0.
